Showroom & exhibitor handbook

Showroom & exhibitor handbook

Find out how to get the most out of your involvement in the festival

Welcome to your showroom & exhibitor handbook for Clerkenwell Design Week 2024: a quick-reference document to help you get the most out of your involvement in the festival.

You’ll find an overview of this year’s event, an outline of how we work to support and promote you, links to resources, those all important deadlines, alongside a list of suppliers we’re happy to recommend.

Clerkenwell Design Week marks a specific moment in the calendar when the architecture and design community comes together to be inspired, network and make new connections. As organisers, we are here to advise and support you to deliver your CDW objectives, be it to draw an audience to your space, launch a product or host a particular event. We strongly encourage showrooms to stage quality and relevant content during the festival as a critical factor in achieving success. We are able to help develop content ideas, put you in touch with trusted suppliers or assist in developing marketing assets. The clearer you are on your objectives, the easier it is for us to help or advise on delivering them.

CDW checklist

With so much activity and exciting new content taking place during #CDW2024, it is key that you market your presence effectively to help you stand out from the crowd. Here are a few pointers:

1. Show guide listing and online profile

You will receive E-zone login details directly via email in order to upload all content. It is imperative that you complete both your show guide listing and online profile. CDW's website is the most up-to-date source of information for visitors before, during and after the show whilst the printed guide is a handy resource for visitors during and after the festival.

Show guide listing deadline: 22 March, 12pm
Online profile deadline: To be uploaded as soon as you receive your logins, this can be updated regularly

2. Showroom activity (showrooms only)

The programme is a huge part of CDW’s appeal. Interesting and relevant activity/events will draw visitors to your showroom and can include everything from talks, to workshops, product launches, parties and more. You can find some inspiration and ideas in the Programme section below. It is your responsibility to submit all showroom activity via the E-zone.

Showroom activity deadline for programme: 22 March, 12pm
Please note, any events submitted after this deadline will only appear on the online programme

3. Product launches

Provide concise information on any product launches you are planning during CDW. Try to let the marketing team know as early as possible as this is likely to secure more coverage.

4. Showroom assets (showrooms only)

You will be able to access the Exhibitor Manual via the E-zone where you can login and complete the Showroom Asset Request Form to order flags and window vinyl.

5. Forms & operational/logistical information

You will find all of the compulsory forms for your stand or showroom in the E-zone. It is imperative that you complete these by the deadlines stated. You can also access key information including build-up/breakdown times, delivery details, storage and access, height limits, flooring and electrics. (This will be available in February).

6. Exhibitor badges & lead capture app licences

Be sure to generate exhibitor badges for your team via the E-zone and measure your success at CDW by collecting accurate and reliable leads that you can act on with a lead capture app licence. (This will be available in February).

7. Market your event

Be sure to let your clients know about your activity at CDW. A personalised invitation, banner or advert will stand out in visitors minds and cut through the noise. Make full use of the marketing assets available in the E-zone and include a personalised registration link to engage with data before the show has even started! Take a look at the marketing downloads section.

8. Social media & imagery

Send us pre-approved posts to support your activity, we can schedule these in advance to ensure your activity is supported. Always tag CDW on the relevant platform and use the hashtag #CDW2024 to maximise exposure. Be sure to provide the marketing team with a range of eye-catching imagery such as colourful shots and products in-situ, these are more likely to feature in our e-newsletters and resonate with press.

Data Capture

All visitors to Clerkenwell Design Week exhibitions and installations are required to register and wear a visitor badge with the recognisable pink lanyard. This year, our registration service provider is LiveBuzz.

We strongly encourage showrooms to use the app-based data capture system provided by LiveBuzz, and have arranged a special price for CDW exhibitors.

You can order lead capture app licences within the E-zone.

The system provides instant access and full ownership of all of your visitors’ data. Depending on your approach, the data collection does not need to restrict access to your space; your showroom team can use it selectively, or for each person entering the space - but remember you must ask for the visitor’s permission before scanning a badge. A visitor is within their rights to refuse to be scanned.

Data capture is also extremely important for the future and planning of the festival as a whole, enabling us to track visitor numbers, movement and interests. Please take a look through the registration system to see the data that we collect from visitors, and of course encourage your contacts to register: www.clerkenwelldesignweek.com/registration
